Administrative Assistant

Location: Woodstock, Vermont
Reports To: Executive Director
Employment Type: Part Time | On-site

Position Overview

GMHA is seeking a reliable, detail-oriented Administrative Assistant to support daily office, accounting, and event operations. This position is in-office three days per week, with the potential to grow into a full-time opportunity for the right candidate.

Responsibilities

Finance & Accounting

  • Classify and organize incoming revenue and bank deposits
  • Assist with expense tracking and receipt collection
  • Scan and file invoices and financial documents
  • Coordinate and communicate with GMHA’s outside accountant
  • Maintain accurate digital and physical records
  • Support month-end and year-end document preparation
  • Respond to vendor and internal financial inquiries in a timely manner
  • Assist with payroll preparation

Office Management

  • Assist with administrative and office organization tasks
  • Support general office operations, including answering phones, managing mail, and serving as a primary point of contact

Program & Event Support

  • Provide administrative support to event managers
  • Help coordinate volunteers, facility rentals, and outside groups
  • Assist with event preparation, scheduling, and logistics
  • Help organize event materials, vendor communications, and office coordination

Database & Donor Management

  • Assist with processing donations
  • Maintain the donor database
  • Generate donor acknowledgement letters
  • Perform other administrative and financial support duties as assigned

Qualifications

  • Strong organizational, communication, and administrative skills
  • Excellent attention to detail and accuracy
  • Comfortable handling confidential financial information
  • Ability to multitask and manage shifting priorities
  • Proficiency with Microsoft Office and basic computer systems
  • Previous administrative, bookkeeping, or event support experience preferred
  • Ability to work independently and collaboratively with a team

Schedule

  • In-office position
  • Three days per week
  • Flexible daytime hours may be available

Compensation

  • Hourly position, based on experience
  • Opportunity for advancement into a full-time role
