Administrative Assistant
Location: Woodstock, Vermont
Reports To: Executive Director

Position Overview
GMHA is seeking a reliable, detail-oriented Administrative Assistant to support daily office, accounting, and event operations. This position is in-office three days per week, with the potential to grow into a full-time opportunity for the right candidate.
Responsibilities
Finance & Accounting
- Classify and organize incoming revenue and bank deposits
- Assist with expense tracking and receipt collection
- Scan and file invoices and financial documents
- Coordinate and communicate with GMHA’s outside accountant
- Maintain accurate digital and physical records
- Support month-end and year-end document preparation
- Respond to vendor and internal financial inquiries in a timely manner
- Assist with payroll preparation
Office Management
- Assist with administrative and office organization tasks
- Support general office operations, including answering phones, managing mail, and serving as a primary point of contact
Program & Event Support
- Provide administrative support to event managers
- Help coordinate volunteers, facility rentals, and outside groups
- Assist with event preparation, scheduling, and logistics
- Help organize event materials, vendor communications, and office coordination
Database & Donor Management
- Assist with processing donations
- Maintain the donor database
- Generate donor acknowledgement letters
- Perform other administrative and financial support duties as assigned
Qualifications
- Strong organizational, communication, and administrative skills
- Excellent attention to detail and accuracy
- Comfortable handling confidential financial information
- Ability to multitask and manage shifting priorities
- Proficiency with Microsoft Office and basic computer systems
- Previous administrative, bookkeeping, or event support experience preferred
- Ability to work independently and collaboratively with a team
Schedule
- In-office position
- Three days per week
- Flexible daytime hours may be available
Compensation
- Hourly position, based on experience
